Win-back

Automatically message clients who haven't been back in a while. Set it up once and Meety sends one email or SMS to every client who reaches the number of days you choose.

Win-back is an automatic campaign that brings clients back. You choose after how many days without a visit a client should hear from you, write the message once, and Meety sends it every day at your chosen time to every client who has just reached that point. You can follow who got the message, who opened it and who booked again.

Unlike custom campaigns, which you send once to clients you pick, win-back keeps running on its own until you pause it.

How it works

  1. Days since last visit – You set how many days without a visit count as "away", for example 60 days. Days are counted from the client's last completed appointment.
  2. Send time – Once a day, at the time you pick, Meety checks which clients have reached that number of days and sends them the message. The time follows your business's time zone.
  3. Content – You write the email and SMS in the same editor as custom campaigns, with dynamic values such as the client's name and a booking link. You can attach a promo code.
  4. Results – Every client who gets the message appears on the win-back page, with when it was sent, the channel, and whether they opened it, clicked and booked again.

Each client gets the message once per absence. If they come back and later stay away again for the set number of days, they get it again.

Setting up win-back

  1. Go to Marketing -> Campaigns in the main menu and open Win-back.
  2. Click Edit.
  3. In When to send, enter the number of days since the last visit (14 to 365) and pick a send time. Below the fields you can see how many of your clients haven't visited for that many days right now, which helps you judge whether the number is sensible.
  4. In Content, choose the channels (Email, SMS, or Email & SMS) and edit the text. Win-back starts with a ready-made message in your language, so you only need to adjust it.
  5. Use Send Test Email to check the email in your own inbox.
  6. Click Save. Your settings are saved even while win-back is paused, so you can prepare it and turn it on later.

Turning it on and off

Use the Active switch at the top of the win-back page. On a phone, you'll find it in the menu behind the three dots.

The first time you turn it on, Meety tells you how many clients already haven't visited for the set number of days and asks what to do with them:

  • Also send it to existing clients – every client who already qualifies gets the message at your send time today, or tomorrow if that time has already passed today.
  • Start the campaign from now on – only clients who cross the threshold after today get the message.

If you turn win-back on after today's send time, the first messages go out tomorrow at your send time, never at an odd hour.

Turning win-back off stops all further messages straight away. The history and your settings are kept.

Win-back can't be turned on while the message can't be sent, for example when SMS is selected but the SMS text is empty or SMS isn't enabled for your business. Meety tells you what to fix.

Who gets the message

A client gets the win-back message when all of these are true:

  • their last completed appointment was at least the set number of days ago;
  • they have no upcoming pending or confirmed booking;
  • they agreed to marketing communications;
  • they aren't blocked or deleted;
  • they haven't received win-back during this absence yet.

Cancelled and no-show appointments don't count as visits, so "last visit" always means a visit that actually happened. Clients who have never completed a visit don't get win-back.

Email, SMS or both

  • Email – clients with an email address get the email.
  • SMS – clients with a phone number get the SMS. SMS must be enabled for your business and is charged according to the price list.
  • Email & SMS – clients with both get both. Clients with only an email or only a phone number get the one they can receive.

Every email contains an unsubscribe link. Clients who unsubscribe from marketing don't get win-back anymore.

Adding a promo code

Promo codes are attached the same way as in custom campaigns:

  1. In the email, turn on Add booking link.
  2. Set Button Link to Reservation Page with Promotion.
  3. Pick a promotion. Only active promotions that are enabled for campaigns are listed.

The booking button then opens your booking page with the code already filled in, and the {{promoCode}} dynamic value shows the code in the email or SMS. If the button isn't set to Reservation Page with Promotion, {{promoCode}} stays empty. More about promotions is in Promotions.

Results

The win-back page shows totals since you turned it on:

  • Sent – how many messages went out, by email and by SMS.
  • Opened and Clicked – how many emails were opened and how many had a link clicked.
  • Booked again – how many clients booked a new visit through the message's booking link, or with its promo code, with no time limit. Below it you see the revenue from those bookings once the visits are completed.

The recipients table lists every client who got the message, with the send date, the channel, the email or phone number, the status and whether they booked again. It's paged, so it stays fast as it grows.

The setup summary on the same page shows the days, send time, channels and promo code without opening the editor.

Limits

Win-back messages count towards the same monthly limit as custom campaigns (1,000 emails and 1,000 SMS per business per month). When the limit is reached, the remaining clients wait and get the message once the limit resets next month. Nobody is skipped.

Win-back is part of Campaigns, which are available from the Solo plan. More in Plan and subscription.

Frequently asked questions

Will a client get the message every day? No. Each client gets it once per absence. They get it again only after they come back for a completed visit and then stay away for the set number of days again.

A client already booked their next visit. Will they still get it? No. Clients with an upcoming pending or confirmed booking are skipped.

Can I change the message while win-back is on? Yes. Click Edit, change what you need and save. The change applies from the next send.

What happens if I turn off SMS or the attached promotion while win-back is on? Win-back stops sending, and its page shows what needs fixing. Clients who would have got the message keep waiting and get it at the first send time after you fix it.

Does win-back count bookings made by phone? No. "Booked again" counts bookings made through the message's booking link or with its promo code. Bookings made by phone or without the link aren't counted.
